1. Who We Are

KaixinCap (“we”, “our”, or “us”) is a wholesale cap manufacturer based in Guangdong, China. We operate the B2B platform at kaixincap.com(the “Platform”) through which wholesale buyers can browse products, request quotes, and place orders.

For privacy inquiries, contact us at info@kaixincap.com.

2. Information We Collect

We collect the following categories of personal information:

  • Account information — name, email address, company name, and password when you register.
  • Order & quote information — product selections, quantities, logo artwork, shipping address, and payment references.
  • Communications — messages you send via the quote form, email, or WhatsApp.
  • Technical data — IP address, browser type, pages visited, and session cookies used to keep you logged in and prevent fraud.

We do not collect or store credit card numbers or bank account details directly.

3. How We Use Your Information

We use your data to:

  • Create and manage your buyer account.
  • Process quote requests and production orders.
  • Send transactional emails (quote confirmations, payment requests, production updates).
  • Respond to support and sales enquiries.
  • Detect and prevent fraud and abuse of the Platform.
  • Improve the Platform through aggregated, anonymised analytics.

We do not sell your personal data to third parties, and we do not use it for advertising purposes.

4. Legal Basis for Processing (GDPR)

Where the General Data Protection Regulation (GDPR) applies, we rely on the following legal bases:

  • Contract performance — processing necessary to fulfil your orders and quote requests.
  • Legitimate interests — fraud prevention, platform security, and service improvement.
  • Consent — where you have opted in to marketing communications (you may withdraw consent at any time).

5. Cookies

We use essential session cookies to maintain your logged-in state and a CSRF token to protect form submissions. No third-party advertising or tracking cookies are set.

You can disable cookies in your browser settings; however, doing so will prevent you from logging in or placing orders.

6. Data Sharing

We share your data only with:

  • Our logistics partners — name and delivery address, shared only to fulfil your shipment.
  • Our email service provider — used to send transactional emails on our behalf.
  • Our hosting and infrastructure providers — under strict data processing agreements.

All third-party processors are contractually bound to protect your data.

7. Data Retention

We retain account and order data for as long as your account is active and for up to 7 years thereafter to comply with applicable accounting and commercial law obligations. Enquiry data is retained for 3 years.

You may request deletion of your account at any time by emailing info@kaixincap.com. We will delete your data within 30 days, subject to any legal retention obligations.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate data.
  • Request deletion of your data (“right to be forgotten”).
  • Object to or restrict certain processing.
  • Data portability (receive your data in a machine-readable format).

To exercise any of these rights, email info@kaixincap.com. We will respond within 30 days.

9. Security

We use industry-standard security measures including HTTPS encryption, hashed passwords, and access controls. Despite these measures, no internet transmission is completely secure; we cannot guarantee the security of data transmitted to or from the Platform.

10. International Transfers

Your data is processed on servers located in the European Union and may be transferred to our operations in China for order fulfilment purposes. We implement appropriate safeguards (including contractual clauses) for any international transfers.

11. Changes to This Policy

We may update this policy from time to time. When we do, we will update the “Last updated” date at the top of this page and, where the changes are material, notify registered users by email.
